Job description

Our ideal candidate:

We are looking for a bright, organized individual to provide operations support, customer relationship management, administrative and scheduling support. The person who fills this position needs to be someone that enjoys, and is good at, communicating with people on the phone and through e-mail. This person will need to learn quickly and will need to master the software we use. This person will also need to be highly organized and self-driven, always finding something to do to help the business improve and grow.

Must have experience:

High school diploma or equivalent

Proven experience as an office assistant or administrative role handling office responsibilities, including data entry, appointment scheduling and customer service.

Highly proficient computer skills, including Outlook and Microsoft Office Suite (Word, PowerPoint, and Excel), Google Drive, Adobe and more. Assessments will be given to confirm you can utilize the entire MS Office Suite as needed in this position.

Excellent written and verbal communication skills.

Highly organized and able to manage competing priorities.

Working knowledge of office equipment (copy/fax machines, printers, VOIP landline phones).

Thorough understanding of office management standard operating procedures.

Analytical abilities and aptitude in independent problem-solving.

- Experience in the Landscape industry is a plus.

Primary Responsibilities:

Send out billing statements and make collections calls as needed

- Assist with all operations including locates, customer contact, material scheduling, etc

Perform Q/A phone calls to new clients, notification emails and follow up on pending estimates

Provide administrative support to management, sales, and service; type letters, proposals, and memos with accuracy and speed, enter data, print reports, and maintain files and records

Create and organize job folders

Explain company services to prospective customers

Enter notes about important customer comments, needs, and interactions in computer database

Track job costs including fuel, materials, hours, etc

-Assist with scheduling of vehicle repairs and maintenance

-Bank deposits and reconciliation

Answer telephones and take detailed information for lawn care & design inquires

Order and maintain office supplies. Keep office neat, clean, and organized.

Excellent communication skills written, verbal, interpersonal

Ability to meet deadlines and multi-task

Familiarity with the landscape/construction industry; preferred, but not required

Ability to work without supervision or being alone for extended periods of time

Demonstrate Leadership

Self-Starter and Self-sufficient

Extremely organized
