ABOUT THE ROLE:

This position serves as Administrative Assistant II in the Burleigh County Sheriffs Department. Data entry, assists the public, answers telephones, collects and tabulates data, prepares original correspondence, reports, and maintains files.

CANDIDATE REQUIREMENTS:

1. Associates degree (or 60 semester hours of college credit) from an accredited college or university with major coursework in office support, business or office education, and two (2) years of work experience in performing a variety of office support, clerical, or secretarial work. Additional work experience performing office support, clerical, or secretarial duties may substitute for the education requirement on a year-for-year basis.

2. Must be proficient with word processing and spreadsheet computer software, such as MSWord and Excel, and must possess excellent typing skills. Preference will be given to applicants who have law enforcement background with knowledge of criminal and civil procedures and knowledge of One Solution RMS.

3. Successful completion of the interview process, reference checks, post offer criminal record check, physical and psychological exams. The County will pay the costs associates with the exams.

ESSENTIAL DUTIES:

Responsible for incoming calls for the Sheriffs Department.

Provide in-person customer service at the front desk (accepting paperwork for service and serving civil and criminal papers, etc.).

Data input of documents pertaining to the Sheriffs Department and the electronic storage of those documents.

Conduct records checks and process report requests.

Assist the 24-7 Program with registering new participants.

Collect money (24-7 program, report copies, paper service, and bond) from the general public and issue applicable receipts.

Open and process incoming and outgoing mail for the Sheriffs Department.

Assists the Investigative Division Administrative Assistant III with transcription.

Serve as a back-up to the Civil Division Administrative Assistant II.

Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Thorough knowledge and skills in the use of computers for data entry, transcription, reports and correspondence.

Skills to communicate, verbally and written, tactfully and effectively, with different people on a variety of issues, both on the phone and in person.
